What to Delegate to an Ecommerce VA First

Most store owners wait too long to delegate, then hand over too much at once. A better approach is to start with a few well-defined tasks, get them running reliably, and add more from there.

The test for a good first task

A task is ready to delegate when it is:

  • Recurring: it happens daily or weekly, so the time saved adds up.
  • Rule-based: it can be written as steps, with clear answers for the common cases.
  • Low-risk: a mistake is easy to spot and cheap to correct.

Anything that needs your judgment on money, strategy or brand voice can wait.

Tasks that usually pass the test

Order processing

Checking new orders, passing them to fulfilment or your supplier, adding tracking numbers and flagging anything unusual, such as an address problem or an out-of-stock item.

Routine customer messages

"Where is my order?", return requests and simple product questions make up most support volume. With a set of approved templates and a rule for what to escalate, an assistant can handle these well.

Listing and product updates

Price changes, stock updates, new images and corrections to copy. These are precise, repetitive and easy to check.

Supplier and stock follow-up

Monitoring stock levels against reorder points, chasing suppliers for delivery dates and updating the spreadsheet you already keep.

Recurring reports

Pulling the same numbers every week into the same sheet, so you can read them rather than assemble them.

Write a one-page procedure for each

A procedure does not need to be a manual. For each task, write:

  1. When it is done and how often.
  2. The steps, in order.
  3. What to do in the two or three most common exceptions.
  4. When to stop and ask you.

Record yourself doing the task once if that is quicker. The assistant can turn the recording into written steps, and you only need to check them.

Share access the right way

Do not share your owner login. Both Shopify and Amazon Seller Central let you add separate users with limited permissions. Give each person their own account, with access only to what their tasks require. You keep a record of who did what, and you can remove access in one click.

Check the work, lightly

For the first few weeks, review a sample of the output every day. Once it is consistently right, move to spot checks. Small errors in orders or listings compound if nobody is looking.

Add tasks gradually
